# Filling blank city cards afterwards: put credit on a whole stack at once

Have blank cards printed for free and put credit on them later: a range of sequence numbers from a batch, or individual cards by their pass code. The fee goes on your monthly invoice.

- Have blank cards printed and put credit on them later: a range of sequence numbers from a batch, or individual cards by the pass code below the QR.
- You arrange the credit yourself, outside MijnEvent. MijnEvent charges a fixed amount per filled card, on one monthly invoice.
- You see in advance how many cards will be filled, what they are worth and what it costs. Cards that are already filled, blocked or destroyed are skipped.
- Above € 5,000 per fill, a second administrator approves first. A typo can be reverted as long as none of the cards has been used.
- For each fill you choose how long the credit stays valid, with a minimum of two years.

A company calls: can you supply five hundred Christmas vouchers of € 10 for their staff? The cards are already printed and in the cupboard, each with a QR code and a sequence number. What you want is not to click five hundred times, but to say: "cards 250 to 750, € 10 on each". Now you can.

# Print first, fill later

You [generate blank pass IDs and have them printed](/en/blog/printing-and-reusing-physical-city-cards) at no cost. A blank card costs nothing as long as there is no credit on it, and its validity only starts once value is added. So you can print a healthy stock and fill it when there is demand: a Christmas campaign, a low-income scheme, a gift for volunteers.

You arrange the credit yourself, outside MijnEvent. The buyer pays you, or the money comes from a subsidy budget; that administration is yours. MijnEvent only records which cards were filled and charges a fixed amount per card. The current rate is on the [module page](/en/modules/city-cards).

# How to fill a range

1. In the dashboard, go to **Regional gift cards → Passes** and click **Fill passes**.
2. Choose **A range of sequence numbers from a batch**, select the batch and enter the first and last sequence number. Leave them empty to fill the whole batch.
3. Enter the **amount per card**, between € 5 and € 150.
4. Optionally choose until when the credit is **valid**. Leave it empty for your city pass default. Less than two years is not possible.
5. Check the **preview** and click **Fill passes**.

The preview shows how many cards will be filled, how many are skipped, the total value and what goes on your monthly invoice. Cards that are already filled, blocked or destroyed are skipped automatically. Then you take the cards from the stack by sequence number; they can be spent at the participating shops straight away.

# Filling individual cards by pass code

Only filling a few cards, for a competition prize or a long-serving volunteer? Choose **Individual passes** and paste the pass codes, one per line. The pass code is the twelve-character code below the QR on every card, such as `ABCD-EFGH-JKLM`. If you mistype one, the dashboard tells you which code is wrong; it never silently fills a different card.

# Four-eyes approval for large amounts

Above € 5,000 per fill you create a lot of money in one go. So nothing is filled yet: the fill waits for a **second administrator**. Colleagues with the "Fill blank passes" right receive an email and see the fill in the dashboard with an **Approve** button. Only after their approval does the credit go on the cards. You cannot approve your own fill; only the owner of the organisation can, so a one-person organisation does not get stuck.

You switch the right on under **Team**, per person.

# Fixing a typo

Wrong range or wrong amount? Click **Revert** next to the fill. The credit expires and the cards are empty again, ready to be filled anew. That is possible as long as none of the cards in that fill has been used and the fee has not been invoiced yet. After that it is no longer a correction: you [reissue](/en/blog/printing-and-reusing-physical-city-cards) a card instead.

# The monthly invoice

At the end of the month you receive one invoice for all cards you filled that month. You choose how to pay:

- **Direct debit.** The owner authorises it once in the dashboard. The invoice is then your advance notice and you do not need to do anything else.
- **Invoice with a payment link.** Without authorisation you receive the invoice with a payment link for iDEAL | Wero. Pay within 14 days.

If an invoice stays open too long, or a direct debit fails, you temporarily cannot fill new cards. Cards that are already filled can still be spent. Pay the invoice, also straight from the dashboard, and you can fill again right away.

# Get started

Filling is part of the [City cards](/en/modules/city-cards) module. If you already issue a city pass through MijnEvent, you will find **Fill passes** on the Passes tab. No city pass of your own yet? Have a look at the module page or get in touch and we will set it up together.

   Frequently asked questions

## Frequently asked questions

## How do I fill a whole range of city cards at once?

In the dashboard, go to Regional gift cards → Passes → Fill passes. Choose the batch, the first and last sequence number and the amount per card. You immediately see how many cards will be filled and what it costs; one click puts the credit on them.

## Can I fill individual cards too?

Yes. Choose 'Individual passes' and paste the pass codes, one per line. That is the twelve-character code below the QR on the card. Upper or lower case does not matter.

## How do I pay for filled cards?

You arrange the credit itself outside MijnEvent. For the cards you fill, you receive one invoice per month: by direct debit if the owner authorises it, otherwise with a payment link. If an invoice stays open for more than 14 days, you can only fill again once it is paid.

## What if I chose the wrong range or amount?

Then you revert the fill. That is possible as long as none of the cards has been used and the fee has not been invoiced yet. The credit expires and the cards are empty again.

## Why does a colleague have to approve a fill?

Above € 5,000 per fill you create a lot of credit in one go. That is why a second administrator with the 'Fill blank passes' right approves first; until then nothing is filled. In a one-person organisation the owner can approve their own fill.
