The moment someone pays, MijnEvent sends the confirmation with the ticket attached as a PDF — and after that every email that belongs with it: a login link, a waiting-list notice, a refund. There is no mail tool to connect and no template to build. And if you would rather it sounded like your club than like a system, you simply rewrite the subject, greeting, body and sign-off yourself.

## From order to confirmation without you lifting a finger

The emails are built into the platform. You do not switch them on — they are already on. All that is left is deciding how they sound.

### You put your event online

That is genuinely all it takes. As soon as someone pays, the confirmation goes out with the order details, the tickets and — unless you turn it off — a PDF with a QR code attached. No mail tool to connect, no template to assemble, no separate list to keep.

### You write your own version

Your event admin has an Emails tab with four fields: subject, greeting, body and sign-off. Whatever you fill in replaces the default; whatever you leave blank stays the default. Not keen on starting from a blank page? Let the AI assistant write a first draft and edit it from there.

### The email goes out — and replies come to you

With every order your text is sent, with the placeholders swapped for the real name and event name. It arrives as “your organisation via MijnEvent”, and when a visitor hits reply, that reply lands in your inbox — not ours.

## What your visitors receive automatically

Not just the confirmation. Every moment somebody needs to know something has its own email — and it already exists.

       ### The confirmation with the ticket in it

Straight after a successful payment: a summary of the order, the tickets and the amount paid, with a PDF attached. If it carries a QR code, that is what gets the visitor through the door. Apple and Google wallet buttons are included too, so the ticket ends up in their phone rather than in a lost attachment.

       ### The login link and the verification code

Visitors have no password with us. Anyone who wants to find their tickets again gets a login link by email. If someone shows up on a device we do not recognise, a six-digit code follows as an extra check. Both happen automatically, including in the middle of the night.

      ### A spot has come free

When a ticket type sells out, visitors can join the waiting list. If something frees up, a message goes out to the people waiting. You do not have to ring anyone back or keep track of who put their name down.

      ### Resale, on both sides

When a visitor passes their ticket on to somebody else, the buyer gets an email with the new, valid ticket and the seller gets confirmation that their money has been refunded. Two emails, one transaction, and you never have to sit in the middle of it.

      ### Money back, properly confirmed

Refund an order — in full or in part — and the visitor gets an email about it with the amount stated. That saves you the “has it been transferred yet?” question a week later, and you have it in writing that you told them.

       ### Invitations for your own people

Stewards who will be scanning at the entrance and team members who need access to the admin get invited by email. They click the link and they are in — no account for you to create, no password for you to pass along.

## The default is tidy — but it can sound like you instead

The default texts are complete and correct. It is just that a marina sounds nothing like a museum, and a village fête sounds nothing like a council. So you can overwrite them.

      ### Four fields, and blank simply means default

Per event you decide the subject, greeting, body and sign-off of the confirmation email. You do not have to rewrite everything — fill in one field and the rest stays as it was. Empty a field again and the default is back. So there is always a working email, even if you stop halfway.

       ### Placeholders fill themselves in

Type \[naam\] and the customer’s real name appears when the email is sent. The same goes for \[event\]. Write “Ahoy \[naam\], your spot for \[event\] is ready” once and it is right for everybody. A placeholder we do not recognise is left standing rather than thrown away.

      ### Let the AI assistant make a start

Staring at an empty text box helps nobody. One click and the assistant drafts a first version based on your event, which you then edit as you like. If the assistant happens to be unavailable, you get a filled-in example template instead — so you never get stuck waiting on a service that is briefly down.

      ### From you, and answerable to you

The email arrives as “your organisation via MijnEvent”. We technically send it — that is what keeps it out of spam filters, because the sending address is one we keep in good standing. But the reply address is yours: when a visitor hits reply, it reaches you rather than our support desk.

## The letterhead stays MijnEvent’s

The words are yours, the layout is ours: the MijnEvent logo sits at the top of the email, not yours. Your own logo, colours and typeface do apply to your ticket page. A fully branded email is a bespoke job — ask us if it matters to you.

## The language follows your organisation

The default texts exist in Dutch and English, and which one is used depends on your organisation’s language setting — not on the visitor’s browser language. Write your own text and it goes out exactly as you typed it, in whichever language you typed it.

## Not every email can be edited

You write the confirmation emails: the ones for your events and the ones for the modules you use. The login link, the verification code, the waiting-list notice, the refund and the resale emails keep their default wording. Those need to stay predictable and dependable — precisely because people have to be able to trust them.

## Do I have to connect a mail tool to make this work?

 No. The emails live inside MijnEvent and go out automatically as soon as something happens — a payment, a login request, a freed-up spot. There is nothing to connect, nothing to switch on and no template to build. If you only want to adjust the tone, you do that in the Emails tab of your event.

## What happens to fields I leave blank?

 That email simply uses the MijnEvent default text. So you do not have to rewrite everything: if you only want your own greeting, fill in that one field and the rest stays as it was. And if you later empty a field you had customised, the default text is right back.

## Can a visitor reply to the confirmation email?

 Yes, and that reply comes to you. The email is sent from our address — necessary to stay out of spam filters — but with your organisation name in front of it and your email address as the reply address. So a visitor who hits reply is emailing you, not us.

## Is the ticket attached as a PDF?

 By default yes: the confirmation carries a PDF with the tickets and a QR code to get in with. Per event you can switch off the PDF, the QR code or the wallet buttons if that suits you better — at a private gathering where nobody gets scanned, for instance. And if the PDF ever fails to generate, the email still goes out, just without the attachment.

## Does this apply to the modules too, like rentals or merchandise?

 It does. Every module with a confirmation email has the same Emails tab, the same four fields and the same rule that blank equals default. Each module adds its own relevant placeholders, such as [item] for rentals or [cursus] for courses. The tab shows you which ones you can use there.
