# Not everyone walking in has to pay

Your volunteers, the local paper’s photographer, the sponsor with ten tickets written into the contract, the guitarist’s sister. Put them on the guest list and they get a real ticket with its own QR code — not a name on a sheet of paper that goes missing at the gate. They count towards your capacity, they scan like every other visitor, and because the ticket is free you pay no platform fee on it.

## From a name to a valid ticket in three steps

The guest list is a tab on your event. What comes out of it is not an exception to your system, but an ordinary order that happens to cost nothing.

### Add the guest

Open the Guest list tab on your event, fill in a name and email address, pick the ticket type and the quantity. Want to say something personal? Set your own subject line and covering message per event, and switch it on or off per guest.

### The ticket exists immediately

A €0.00 order is created holding real tickets, each with its own QR code. The same locking as an ordinary order makes sure the places are genuinely drawn down: from the ticket type, from a shared capacity group, and from a time slot if you use them. If it no longer fits, you are told so — instead of quietly overbooking.

### At the door there is no difference

The guest has their QR code scanned like everyone else, and like any ticket it only gets them in once. Create the guest from the scanner app and you can check them in during the same action — handy for a crew member already standing in front of you.

## The people who turn up without buying a ticket

Every event has them. Usually they live on a list in somebody’s phone — until that somebody steps away.

        ### Volunteers &amp; crew

Twenty-five people who need to be inside by seven, spread across three entrances. With a guest ticket each, every steward knows it checks out without ringing round to ask who was on the list again — and afterwards you can see who actually turned up.

      ### Press &amp; photographers

A photographer who signs up in advance, a journalist who only confirms on the morning itself. You add them to the list, they get their ticket by email, and they walk through the same entrance as everyone else.

       ### Sponsors &amp; partners

The sponsor with ten tickets written into the contract. Issue them in one go under their name and send them to their address; they hand them out to their own guests and it costs you no further work.

       ### Performers, speakers &amp; their guests

The band that wants four guest tickets, the speaker bringing a partner. It comes out of the same capacity, so your room never quietly fills up beyond what you had counted on.

## Why a guest ticket beats a name on a list

A paper guest list only fails at the moment it gets busy. A guest ticket is simply a ticket — with everything that comes with one.

       ### It counts towards your capacity

Every guest ticket draws down capacity exactly like a sold one: from the ticket type, from a shared capacity group, and from the time slot if you use them. So you never end up with a full room while your admin still shows space. If the guest no longer fits, the system says so and tells you how many places are left.

        ### A real ticket, so the same check-in

The guest gets no special-case status, just a ticket with its own QR code. Your steward scans it like any other, it can only be checked in once, and the guest counts fully towards your visitor numbers and your scanning progress.

       ### No platform fee on free tickets

The platform fee is a fixed amount per paid ticket. A guest ticket costs €0.00 and therefore falls outside it — whether you give away five or five hundred. Putting your crew on the list properly does not make your bill any bigger.

      ### With or without an email address

In the admin screen you enter an address, because that is where the tickets go. Add a guest from the scanner app and a name is enough: the ticket exists without any email and the app shows the QR code right away. Useful at a busy door, where nobody wants to wait while an address is typed out.

## In the admin screen an email is required

Adding a guest from behind your computer means an email address has to be there — otherwise the tickets arrive nowhere. If you do not have that address, the scanner app is the route: a name is enough there.

## Twenty tickets at a time

One guest can receive at most twenty in one go. Larger groups you add in several rounds; uploading or importing a list of names is not possible yet.

## A guest ticket is otherwise an ordinary ticket

If resale is switched on for that ticket type, your guest can list it just like any other visitor — they do hold a real ticket, after all. If you would rather they did not, use a separate guest ticket type with resale switched off.

## Does the guest get an email automatically?

 If an email address is there, yes: the guest receives the same confirmation email as a buyer, with the tickets attached. Add somebody without an address from the scanner app and no email goes out — the app shows the QR code straight away so you can have it scanned on the spot.

## Does a guest on the list cost me a platform fee?

 No. The platform fee is a fixed amount per paid ticket, and free tickets are always fee-free. A guest order sits at €0.00 and therefore carries no fee, however many guests you add.

## Does a guest ticket count towards my capacity?

 Yes, fully. A guest ticket draws down the ticket type, a shared capacity group and the time slot, exactly like a sold ticket. If the guest no longer fits, they are refused with a message telling you how many places are left.

## Can a steward add somebody on the spot?

 Yes. In the scanner app a steward creates a guest with just a name, optionally with a time slot, and can check them in during the same action. Those guests then show up in the guest list overview in your admin screen like any other.

## Can I send along my own message?

 Yes. Per event you set your own subject line and covering message for the guest email. You use [naam] and [event] as placeholders and format with **bold**, *italics* and lists. Per guest you decide whether that text goes along.

## Do guest tickets mess up my revenue figures?

 No. A guest order sits at €0.00 and does not count as a sale; sales notifications and milestones stay reserved for real orders. In your visitor numbers, your capacity and your check-ins the guest counts fully — because there they really are present.
