# Scanning at the gate: install the app, prepare and test it together

 You have been asked to scan tickets. Four steps get you ready: install the app, sign in with the code from your e-mail, download the event for offline use and test with a colleague that the same ticket really does turn red on the second phone.

# What is expected of you

You have been asked to scan tickets at the entrance. That is where visitors form their first impression, and where an organiser runs into trouble fastest if anything falters. The organiser is counting on you, and MijnEvent — just like the organiser — depends on you here.

So read these instructions in full and test scanning before the event starts. On the day itself there is no time for it: there will be a queue, and you will not have two free hands to work out why your phone is doing nothing.

# Step 1 — Install the app

Always scan tickets with the official MijnEvent app. For events with more than 50 visitors the app is a must: only there can you keep scanning offline and share check-ins with other scanners.

Download the version that matches your phone — the app is in both the App Store and Google Play. Do that at home, on wifi, not in the car park five minutes before the doors open.

# Step 2 — Sign in with the code from your e-mail

1. Open the app and enter the e-mail address on which you received the invitation.
2. You immediately get a six-digit code by e-mail. Type it into the app.
3. If you steward for several organisations, pick the right one. Your account is then ready.

No code? Check your spam folder and try again with exactly the address the invitation went to — the system does not know any other address for you.

# Step 3 — Prepare your shift

The network on an event site drops out more often than you would expect: a marquee full of steel and people is an excellent radio damper. So prepare every shift like this:

- **Download the event for offline use.** Open the event in the app and choose "Download for offline". Do this on the day itself, so the ticket list is current.
- **Set the entrance where you are standing.** That name is recorded with every check-in, so it is clear afterwards where somebody came in.
- **Switch on "Share check-ins over Bluetooth"** in the screen where you pick the entrance.
- **Run the Connection test** via Settings → Gate sync → Connection test. Every line in the checklist has to be green.

Not sure whether two phones can see each other? Start the radio test on both phones. A reply proves that the Bluetooth radios find each other — not yet that the event key matches, but it saves a lot of searching.

# What sharing check-ins over Bluetooth actually does

Scanners at the same entrance exchange their check-ins over Bluetooth. When your colleague scans a ticket, your phone knows within a few seconds — even with no internet at all. That way the same ticket cannot go green twice.

Just as important is what it does *not* do:

- It does not replace the server. As soon as there is internet again, the server leads.
- It is not a guarantee, but an extra safety net.
- It does not cover the whole site: count on 10 to 30 metres with a clear line of sight. Walls, marquees and crowds shorten that.
- It only works between scanners on the same event and the same day.
- It only works with the scanning screen open — not with the app in the background or the phone in your pocket.

# Step 4 — Test it with a second steward

Do this test well before the event, together with a colleague and two phones. For a fair test, put both phones in flight mode and then switch Bluetooth back on — that way you know for certain nothing travels over the internet.

1. **Prepare.** The same event downloaded on both phones, Bluetooth on and "Share check-ins over Bluetooth" on. The checklist in the Connection test is fully green on both phones.
2. **Find each other.** Open the scanning screen on both phones, one to two metres apart, and wait fifteen seconds. The counter shows at least one scanner on both phones.
3. **Connection test.** Start the test on one phone via Settings → Gate sync → Connection test. You see the name of the other phone, with a response time behind it.
4. **The real test.** Phone A scans a valid ticket. Phone B scans the same ticket within ten seconds and turns red: already scanned, with your colleague's name and the time.
5. **The latecomer.** Close the app on phone B, let A scan three tickets, start B again and open the scanning screen. Within about half a minute B knows those three scans too.
6. **Distance.** Walk 30 to 50 metres apart and watch the counter: it falls back to 0. Come closer again; the connection recovers within about half a minute.

Steps 4 and 5 are the real test. That is where it shows whether a ticket scanned elsewhere also turns red for you. The rest only proves that the phones can see each other.

# Not working? Run through this list

- **Bluetooth is off** → switch it on. Flight mode is fine, as long as Bluetooth goes back on.
- **The other phone is not on the scanning screen** → open it. In the background or in a pocket it does nothing.
- **You are on a different event or a different day** → pick the same event on both phones.
- **The event has not been downloaded for offline use** → download it first.
- **"Share check-ins over Bluetooth" is off** → switch it on in the screen where you pick the entrance.
- **On Android: permission for "nearby devices" was denied** → allow it in the phone's system settings.
- **Too far apart or too many walls in between** → move closer together.

Still nothing? Your check-ins continue as normal and reach the server as soon as there is internet again. Report the problem to the organiser, with the time and the names of both phones.
