# Email your attendees from the dashboard: reach exactly the right group, QR codes included

Email your ticket buyers, renters, course participants or members straight from MijnEvent — practical info beforehand, a thank-you afterwards, and an emergency announcement when it matters.

- Pick an audience — ticket buyers of an event, renters, course participants, members, webshop customers or city-card holders — and email them straight from the dashboard.
- Every recipient automatically gets their own QR codes and your confirmation-email attachments, following your event settings.
- Mailing is possible until one day after the ticket or booking ends; per event at most three mailings with 24 hours in between.
- For a cancellation or code red there is the emergency announcement: always immediate, always free, and it also reaches unsubscribed recipients.

  A changed start time, practical parking info, or simply a thank-you afterwards: sometimes you want to reach everyone who bought a ticket. Until now that meant exporting your visitor list, pasting addresses into an external mail tool and hoping you did not miss anyone. With **Attendee mailings** you do it straight from the dashboard — no export lists, and every recipient's QR codes included automatically.

# How it works

Open **Attendee mailings** in the dashboard menu and click *New mailing*. The wizard has three steps:

1. **Audience** — choose who to email: the ticket buyers of one event (optionally narrowed by ticket type), your renters, parkers, the participants of a course group, members and season-card holders, webshop customers or city-card holders. You see live how many mailable recipients your selection has.
2. **Message** — write your subject and message with formatting. Placeholders such as `[naam]`, `[event]` and `[organisatie]` are filled in per recipient. Send a test email to yourself first to see the result.
3. **Review &amp; send** — check the recipient count and send. Done.

Every recipient automatically gets their own context at the bottom of the email: tickets with QR code (following your event settings — if the QR is disabled for your event, it stays out of the mailing too), the booking confirmation, series pass, membership card, pickup pass or city card. The attachments you configured for your confirmation email come along as well. That way your visitor always finds their proof of entry in the most recent email.

# The mailing window: until one day after the end

Attendee mailings are meant for messages around an order — not as a free newsletter channel. That is why a **mailing window** applies: you can email attendees until one day after their ticket or booking ends.

- Someone rents through 1 July? They are mailable through 2 July.
- A weekend ticket from Friday to Sunday? On Monday you can still send a thank-you.
- Only **active** tickets count: whoever got a refund or resold their ticket falls outside the audience — the new owner of a resold ticket is included instead.

# Limits that protect your visitors

Nobody wants five emails a day about the same event. Per event there is a maximum of **three mailings** (before and after combined), with at least 24 hours between two sends. Rentals, parking and courses follow the same rhythm; members can be emailed at most once every 30 days. The dashboard always shows how many mailings you have left.

Webshop customers and city-card holders stay mailable for a long time — a city card is valid for two years, after all. For those groups there is no count limit but a fee instead: **€5.00 per mailing**, paid upfront. That keeps the threshold fair without taking the option away.

# Emergency announcements: when everyone needs to know now

Is your event cancelled or moved, or is there a safety situation? Then you send an **emergency announcement**. It bypasses the send limit, is free and also reaches recipients who unsubscribed from regular mailings — with code red, everyone needs to know. The announcement is clearly marked in the email, and every use is recorded in your organisation's activity log. Use it with care: an emergency announcement that turns out not to concern an emergency (a promotional message, for example) is charged afterwards at €50 per occurrence, in line with the module terms.

# GDPR-proof from start to finish

Attendee mailings were built with privacy as the starting point. Email addresses stay inside the platform: you build an audience without ever seeing an address list — the recipient overview always shows masked addresses. Every mailing contains an unsubscribe link (with one-click unsubscribe), and an unsubscribe applies immediately to all following mailings. Confirmation and ticket emails stay out of it: those keep arriving as usual.

## Who can I email, and for how long?
