How visitors create their own VAT invoice

You know the drill. A few days after your event, the emails start coming in: "Could I get an invoice in my company's name?" For every business visitor you log in, retype their details, generate a PDF and email it back. Multiply that by dozens of requests and there goes an afternoon on admin instead of on your next event.

With MijnEvent that's a thing of the past. Visitors now create their own VAT invoice — you don't have to do a thing.

How it works for the visitor

A visitor with a paid order signs in to "My tickets" on your subdomain, opens the order and clicks "Request VAT invoice". They then fill in their company details:

  • Company name, address, postal code and city
  • Optionally their VAT number and Chamber of Commerce (KVK) number

After agreeing to have those details stored, a PDF invoice is generated instantly. The invoice stays stored with the order, so the visitor can download it again later — no attachment lost in an old mailbox.

Legally compliant, with you as the issuer

The generated invoice meets the Dutch invoicing requirements. It shows:

  • You as the issuer — your legal name, address, KVK and VAT number from your seller profile
  • The visitor as the recipient — the company details they entered
  • A unique invoice number, the invoice date and a reference to the order
  • A description of the tickets, the VAT rate and VAT amount listed separately, and the total excluding and including VAT

The VAT rate comes from the setting in your admin area. Are you a foundation or association that is exempt from VAT? Then the invoice neatly states "exempt from VAT" instead of a VAT line. Which rate applies to your event is something to confirm with your accountant or the tax authorities.

A donation the visitor added to their order falls outside VAT and is shown separately, VAT-free, on the invoice.

You stay in the loop — without the work

Everything happens on the visitor's side, but you're not left out. In your admin area, the Invoices overview lists every invoice visitors have created: which company, which invoice number, which order and which amount. You can download and review each one yourself. So you stay in control for your own bookkeeping, without lifting a finger for the request itself.
