Free events need ticketing too
Not every event sells tickets. A benefit night, an open day, a neighbourhood festival or the Sunday afternoon children's show: entry is free, but you still want to know who's coming and how many people to expect. Ticketing is just as useful here as it is for a paid event.
With free tickets you arrange, in one go:
- Capacity — your venue or grounds has a limit. A free ticket reserves a spot, so you don't have to turn people away at the door on the night.
- Check-in — visitors show their QR code, you scan it at the entrance. Just as smooth as a paid event, and you know exactly how many people are inside.
- A tidy guest list — handy for communication beforehand (directions, programme) and for a reminder as the date approaches.
- Fewer no-shows — free events are exactly where people drift away: it cost them nothing, after all. A ticket plus a reminder just before the date makes it more personal and noticeably reduces empty seats. Reserve by name and you can switch on a waitlist to automatically fill spots that free up.
Which free events?
Free ticketing goes well beyond benefits alone. A few common situations:
- Community and neighbourhood events — a street party, volunteer get-together, member meeting or open rehearsal. Free entry, but you do want to know how many people to expect and to be able to brief the group in advance.
- Internal company events — a staff party, kick-off, team day or drinks. With sign-ups, HR or the organising team knows the turnout exactly, arranges catering for the right number, and has a fast check-in at the door without paper lists.
- Open days and information evenings — schools, associations, healthcare providers: signing up in advance brings calm at the door and a realistic expectation of how busy it will be.
