  In short

## What goes into a club website?

A club website through MijnEvent has two parts: a public site with who you are, the calendar, news and a sign-up form for new members, and a members-only portal where members manage their own details, see their membership dues status, sign up for activities and find documents such as minutes. Dues run by direct debit, with renewal that nobody has to chase. At member evenings or training sessions you register attendance by scanning the QR on the digital member pass. A basic website starts at €450 one-off plus €49 per month, and what it mainly saves your committee is time: one membership administration instead of a website, a spreadsheet and a folder of direct debits.

   Sound familiar?

## Sound familiar?

- ! The member list lives in a spreadsheet, dues arrive as loose transfers, and someone tracks by hand who has paid.
- ! The website is maintained by one volunteer, and when they stop nobody can get in.
- ! New members sign up through a form that lands in somebody's inbox.

   The pages

## What goes on your site

- Public site: who you are, calendar, news and contact
- Become a member — a sign-up form that lands straight in the membership administration
- Members-only portal with personal details and dues status
- Sign-ups for activities, courses and training
- Documents: minutes, statutes and the annual report
- Hire the clubhouse or equipment, with an availability calendar

   What runs inside it

## The parts that make your site work

These modules run straight inside your website. Your visitor notices nothing; they simply stay on your site.

## And then everyone turns up

At member evenings, training sessions or the general meeting you scan the QR on the digital member pass, which lives in Apple or Google Wallet. Attendance is registered on the spot, without a paper list. At activities where non-members are welcome too, they pay the regular rate while members get their member price.

   Pricing

## What it costs

A basic website starts at €450 one-off plus €49 per month for hosting, maintenance and support. Without an upfront investment you pay €119 per month over a 36-month term. Larger projects have their own rate; you always get a fixed price in advance.

   Frequently asked questions

## What organisations like yours ask

## Can members update their own details?

Yes. In the members portal a member changes their address, phone number and email themselves. That saves your secretary a pile of emails, and your administration is right more often.

## How does collecting dues work?

By direct debit. A member gives a mandate when signing up, and the dues are collected per period with automatic renewal. Failed collections show up in the overview, so you know who to approach.

## Can we run activities for non-members too?

Yes. You simply put ticket sales on it; members automatically get their member price or free entry and non-members pay the regular rate. That runs through the member link, where your member list is never copied anywhere.

## What happens to our members' privacy?

You remain the controller; MijnEvent is the processor and a data processing agreement comes with that. Data is processed within the European Economic Area. For a sports club recording health data we look extra carefully during setup: those are special categories of personal data.

## Can the committee update the site themselves?

Yes, and that matters at a club where the committee changes. The content management is deliberately simple: posting news, editing a page and updating the calendar is within reach of anyone who can handle email.

## Can we hire out our clubhouse through the site?

Yes, with the rentals module. You put the clubhouse or equipment online with an availability calendar; renters book themselves, pay directly and the deposit comes back automatically after return.

# Curious what it would come to for you?

One conversation is enough for a first indication. A fixed price follows, and the build only starts once you agree.
