Live dashboard: admitted versus capacity, total and per entrance, with inflow chart Alerts on unusual scan peaks, silent gates and approaching capacity KNMI weather warnings for your event location automatically in your alerts and log

Every check-in your stewards scan is a data point: someone entered through that gate at that moment. The Safety & permit module puts that data to work. During your event you see live how many visitors have been admitted — in total and per entrance — and how fast the inflow is running. If the pace suddenly changes, a gate falls silent or you approach capacity, you get an alert and your stewards get a push notification on their phone that they have to acknowledge. In an emergency you press the evacuation button: every steward gets an urgent push notification, their screen turns red and shows the emergency routes and phone numbers — which are also stored offline on the phone, so they work without coverage. Everything is logged with timestamps. Afterwards an evaluation report is ready with inflow charts, peak analysis and the full incident log — exactly what municipality and fire service want to see. And before your application, the permit helper generates the monitoring and evacuation paragraphs for your safety plan. Important: we deliberately never show a "current attendance" figure — visitors do not check out, so nobody can honestly measure that. What we do show is hard: how many people were admitted, which can never exceed what was scanned.

 How it works

## From order to gate

1. 1 Set your capacity and entrances per event (or just start: without settings everything counts on one gate)
2. 2 Stewards pick their gate when scanning — that is all
3. 3 During the event: live dashboard, alerts and push notifications to your stewards; in an emergency one button
4. 4 Afterwards: download the evaluation report and share it with municipality or fire service

 Frequently asked questions

## Frequently asked questions

## Why do I never see how many people are inside right now?

Because we cannot measure it: visitors do not check out when they leave. A "current attendance" figure would be a guess — and a wrong number during an emergency is more dangerous than no number. What we do show is hard: the number of admitted visitors, an upper bound on attendance and exactly the figure your permit is about. Only for closed venues where exits are scanned too can you enable an attendance counter.

## What does the module cost?

Nothing. Safety should not sit behind a paywall — the module is completely free, however big your event, and it stays that way.

## Does this replace my safety plan or security?

No, emphatically not. This is a tool that supports and evidences your monitoring, escalation and evacuation. It does not replace a safety plan, a security organisation or professional crowd management at a truly large event. You remain responsible as the organiser — the system informs, you decide.

## What does the municipality get out of it?

Two things. During your event the municipality or an emergency service can watch live through a read-only link — no account, no personal data. And afterwards you deliver a report with inflow charts, peak analysis and the incident log, including an account of the measuring method. That turns "we keep an eye on the numbers" in your safety plan into a demonstrable process instead of a promise.

## Does it work without any setup?

Yes. Without configuration everything counts on one gate and you simply see your live counter and inflow chart. Entrances, capacity, emergency numbers and documents you add whenever you have time — every step enriches the dashboard.

## What happens when I press the evacuation button?

After a confirmation step all your stewards get an urgent push notification — even with their screen off. It stays until they tap "Seen", and their scanning screen turns red and shows the emergency routes and phone numbers you prepared. From the dashboard you can send an emergency message to checked-in visitors — by mail, and as a lock-screen notice for anyone holding their ticket in Apple or Google Wallet. Everything — who started it, who acknowledged, when it ended — is logged with timestamps, giving you a complete evacuation record afterwards. There is also a drill mode, clearly labelled as an exercise.

## How exactly does an alert reach my stewards?

As a real push notification on their phone — so also with the screen off and the scanner closed. It stays until the steward taps "Seen", and you see in the dashboard who did. It works in the MijnEvent app for iOS and Android, and just as well in the scanner in the browser. If a steward scans in Safari on an iPhone, they add the scanner to their home screen once through Share → "Add to Home Screen" — Apple only delivers push notifications to an installed app. With our app that step is not needed. And if the scanner happens to be open, the alert shows up there within seconds anyway. Do keep in mind that a push notification is a tool, not a guarantee: put a human link in your evacuation procedure as well — radio, a shift lead, a walk past the gates.
